Mission of Executive Sales Assistant:

As the Executive Assistant, your mission is to assist and enhance the efficiency of the client’s dynamic businesses in a fast-paced environment. You’ll take ownership of communication, project management, and executive assistance, ensuring seamless operations. The primary goal is to be an autonomous and proactive team player, handling various responsibilities to enhance efficiency and organizational effectiveness.

Your responsibilities include:

  • Email Management:
    • Efficiently manage the CEO’s email inbox, reading, sorting, and highlighting all incoming mail.
    • Respond to and delegate emails and tasks, ensuring timely and appropriate actions.
  • Calendar Management:
    • Manage calendars for multiple team members, ensuring optimal scheduling and avoiding conflicts.
    • Organize and coordinate events, meetings, and appointments, maintaining accuracy and efficiency.
  • Travel Arrangements:
    • Book and organize travel arrangements for the CEO and co-workers, ensuring a smooth and efficient itinerary.
    • Handle logistics, accommodation, and any special requirements related to travel.
  • Communication Management:
    • Act as the primary point of contact for internal and external communications.
    • Write emails on behalf of the CEO, ensuring a consistent and professional tone.
    • Manage communication channels effectively, providing timely responses.
  • Project Management Support:
    • Track and update various projects, offering edit notes, and facilitating communication within the team.
    • Drive and manage special projects, initiatives, and process improvements.
    • Monitor project timelines, deliverables, and milestones.
  • Social Media Management:
    • Engage in CEO and team members’ social media accounts, particularly on LinkedIn and Twitter, to optimize communication.
  • Weekly Meeting Agendas:
    • Prepare weekly meeting agendas.
    • Summarize key points and action items to ensure productive and focused meetings.

Here’s an outline of what you can expect in your first 30 days on the job as an Executive Sales Assistant:

First 30 days:

  • Daily 1-on-1 meetings with the client to provide personalized guidance and support during your initial onboarding phase. 

Throughout your first 30 days, you will be provided with the necessary support and resources to ensure your success in our dynamic and collaborative environment, focusing on your seamless integration and contribution to our global recruitment initiatives.

Qualifications:

  • Possesses strong English communication skills, both written and oral
  • Proven 3+ years of experience as a high-level Executive Assistant or in a similar role supporting C-level executives.
  • Proficiency in project management and social media management.
